# Introduction

> Guide to Microsoft 365 Copilot and AI agents covering architecture, use cases, licensing, governance, deployment, and best practices for secure organizational adoption

Welcome to this lesson on Microsoft 365 Copilot and Agents. This module explains what Microsoft 365 Copilot is, how AI agents extend its capabilities, and what organizations must consider to adopt these technologies securely and effectively.

What you'll learn in this module:

* Core components, architecture, and capabilities of Microsoft 365 Copilot
* How AI agents extend Copilot and automate business processes
* When to use Copilot vs. agents, and how they complement one another
* Licensing and subscription considerations
* Planning, governance, security, and deployment best practices
* Real-world use cases that demonstrate value and ROI

Throughout the lesson, focus on both the technical architecture and the operational practices required to scale Copilot and agents across an organization.

## Module outline

* Overview of Microsoft 365 Copilot — core components, architecture, and integration with Word, Excel, PowerPoint, Outlook, and Teams
* Introduction to AI agents — design patterns, connectors, and examples for automating tasks and orchestrating workflows
* Comparison of Copilot and agents — recommended scenarios and complementarities
* Licensing — subscription requirements, SKUs, and licensing models

## 1. Overview — Microsoft 365 Copilot

Microsoft 365 Copilot is an AI-powered assistant embedded across Microsoft 365 apps (Word, Excel, PowerPoint, Outlook, Teams). It augments knowledge work by combining large language models with organizational data from Microsoft Graph and Microsoft 365 services.

Key components:

* LLM foundation (Microsoft-backed models)
* Microsoft Graph for context-aware data (mail, files, calendar, Teams)
* App integrations (Word, Excel, PowerPoint, Outlook, Teams)
* Security and compliance controls via Microsoft 365 admin and Azure AD

Benefits:

* Faster document drafting, summarization, and content generation
* Contextual insights in meetings and email threads
* Data-driven analysis within tools like Excel
* Enterprise governance and compliance alignment

## 2. Introduction — AI Agents

AI agents build on Copilot capabilities to automate multi-step business processes by orchestrating actions across systems. Agents can be configured to run tasks like contract review, expense processing, or onboarding sequences.

Agent design considerations:

* Intent definition and step decomposition
* Connectors to external systems and APIs
* Security boundary and least-privilege access
* Observability, logging, and retry/error-handling

Example agent patterns:

* Retrieval + action: fetch relevant documents via Graph, analyze them, and perform a follow-up action (e.g., notify stakeholders)
* Orchestration: coordinate approvals by calling internal APIs and updating systems of record
* Automation of routine tasks: parse incoming email, populate forms, create tasks in Teams/Planner

## 3. Comparison — Copilot vs. Agents

The following table summarizes when to use Copilot, agents, or both.

| Capability | Use Case | Recommended approach |
| - | - | - |
| Ad hoc writing and editing | Create or refine a document, email, or presentation | Copilot in-app (Word, Outlook, PowerPoint) |
| Contextual summarization | Summarize a meeting, thread, or file | Copilot + Graph context |
| Multi-step workflows | Automate approval flows, extract data across systems, or run scheduled processes | Agents (orchestrators) |
| Real-time assistance during meetings | Provide notes, action items, and follow-ups | Copilot in Teams |
| Repeatable automated processes | Repeating business tasks with defined steps and integrations | Agents with connectors and governance |

Use Copilot for contextual, interactive assistance inside apps; use agents to scale and automate repeatable, multi-step tasks across systems. In many solutions, Copilot and agents complement each other: Copilot helps users interactively, while agents run background automation and integrations.

## 4. Licensing

<Callout icon="warning" color="#FF6B6B">
  Licensing for Microsoft 365 Copilot and agents requires appropriate subscriptions and may vary by feature and region. Confirm licensing details with Microsoft or your reseller before deployment. Evaluate Microsoft 365 Copilot entitlements, Microsoft Graph API access, Power Platform or Azure components (if agents use those), and any additional connector costs.
</Callout>

High-level licensing items to verify:

* Microsoft 365 Copilot seat licenses and tenant-level enablement
* Power Platform / Power Automate licensing for automation flows (if used)
* Azure subscriptions and services for custom agent hosting or additional AI services
* Third-party connector or API costs

## 5. Planning and deployment considerations

Successful adoption requires both technical readiness and organizational change management. Below is a practical checklist to guide planning.

| Area | Key actions |
| - | - |
| Readiness assessment | Inventory apps and data sources; identify high-value scenarios; evaluate compliance posture |
| Security & governance | Define roles and least-privilege access; use Conditional Access and DLP; establish data residency controls |
| Identity & access | Ensure Azure AD is configured; integrate single sign-on and entitlement management |
| Integration & connectors | Map required connectors (Graph, third-party APIs); validate throttling and SLA constraints |
| Observability | Plan logging, auditing, tracing, and alerts for agents and Copilot interactions |
| Change management | Prepare training, adoption campaigns, and documentation; pilot with power users |
| Rollout plan | Start small with high-impact scenarios; iterate and expand; measure usage and business outcomes |

Include an implementation timeline and acceptance criteria, and maintain a rollback plan for early phases.

## 6. Real-world use cases

* Knowledge worker productivity: Drafting and polishing reports, generating slide decks from meeting notes, summarizing email threads.
* Sales enablement: Generating customer-ready proposals and summarizing account activity across Teams and Outlook.
* HR automation: Onboarding agents that create accounts, provision tools, and notify stakeholders.
* Finance automation: Agents that extract invoice data, match to purchase orders, and trigger approval workflows.
* Customer support: Summarizing case histories and proposing next steps to agents or human agents in support teams.
